Front Office Coordinator / Receptionist

(Full-time)

Are you friendly, organized, and love working in a vibrant, fast-paced environment? Then you might be the perfect fit for our team!

We are a modern office complex hosting around 25 small to mid-sized companies. We also offer a growing coworking space, rent out meeting rooms for 5 to 30 people, host events and happy hours on our patio and will soon open our very own restaurant for tenants and external guests. From long-term tenants to day pass users, from international visitors to local entrepreneurs—no two days are ever the same here!

What will you be doing?

As our receptionist/ front desk coordinator, you are the first face people see and the go-to person for everything happening in our space. You’ll seamlessly switch between being a warm host, an administrative organizer, and a reliable team support.

Your responsibilities include:

  • Welcoming visitors, tenants, coworkers, and international guests

  • Handling incoming calls and emails from internal and external clients

  • Giving quick tours to new coworkers or guests

  • Managing meeting room bookings and event reservations

  • Preparing meeting rooms and signage for scheduled events

  • Creating and processing invoices and quotes (using QuickBooks)

  • Distributing day passes, coffee tokens, and service information

  • Providing general administrative support to the team

  • Constantly helping to create a welcoming and professional atmosphere

  • Calm under pressure and solution-oriented

  • Hands-on and ready to jump in where needed

What you bring:

  • At least 1 year of experience in a similar role (front office, hospitality, or reception)

  • Fluent in English and Dutch (Papiamentu and/or Spanish is a plus)

  • Comfortable using administrative systems (experience with QuickBooks is a big plus)

  • Available during regular office hours (flexibility during events is a bonus)
